Circular 12_2024_2025 to Students

Reference is made to the Approved Academic Calendar for 2024/2025 Academic Year. It has come to our notice that some students are not adhering to set timelines for enrolment, payment and registration.

This circular, therefore, is to remind all students to pay attention to the following matters, policy provisions and timelines.
1. Enrolment: The deadline for enrolment was February 9, 2025 starting on February 17, 2025 access to university facilities and services will be by use of Enrolment Cards.

2. Registration: The deadline for normal registration is March 9, 2025. After this date, access to University facilities and services will be by use of Registration Cards.

3. Permission to sit examinations: During Semester I 2024/2025, some students were authorized to sit exams when they had not completed payment and registration process. If you belong to this category, please ensure that you complete these processes as soon as possible.

4. Biodata: There are some students with incomplete biodata on ACMIS. Ensure that your student’s portal has your photo and that the Date of Birth is the one you provided when you first registered as a student of Gulu University. In case of any variations, inform the office of the Academic Registrar.

5. Special Exams: Application for special examinations must be submitted as soon as is practically possible but not later than two weeks into the beginning of the semester in which the special examination has been scheduled. Since we are now in the 5th week of the semester, were are no longer receiving applications for special examinations; which were conducted from February 10- 16, 2025.

6. Withdrawal: Students eligible for withdrawal are requested to apply at any time of the Semester as and when circumstances dictate but not later than April 6, 2025. Students shall not be allowed to withdraw from studies retrospectively (i.e. when the semester in which they wish to withdraw has ended).
